FAQs Paperwork

What do I need to bring with me?
We will need to see the driving licence of anybody you want insured to drive (unless you have arranged your own insurance). If you have a photocard licence, you will only need to bring the photocard. Instead of the paper counterpart, you will need to bring with you your DVLA check code (instructions on how to generate one are on our homepage). Alternatively you can just bring your national insurance number so we can check your information here when you come in. A proof of address (e.g. utility bill) and credit or debit card are the only other requirements.

I can’t find my licence, can I still hire?
Yes. If you have a UK licence, we can obtain your details over the phone from the DVLA (at a cost of £5.00). We can only do this in your presence, as the DVLA need your permission to give us this information. Please bear in mind that the DVLA only open until 2.30pm on Saturdays, so if you are hiring on a Saturday afternoon and need us to carry out a licence check you will have to come in prior to this.

What vehicles am I entitled to drive?
This will depend on what categories are on your driving licence. Everybody should have the entitlement to drive vehicles up to 3500kg GVW with up to 8 passenger seats. If you want to hire a minibus you will need to have group D1 shown on your licence and if you need to drive a 7.5ton lorry, you must hold group C1.

Do I need a special licence to drive a minibus?
No, to drive our 12 and 17 seaters, you just need group D1 on your licence, but if you’re using it for company business, you may need an Operator’s Licence.

What’s an O licence?
In simple terms, operators of vehicles over 3500kg GVW or with more than 9 seats need to hold an Operator’s Licence if the vehicle is being used for business purposes (hire or reward). This is quite a complicated area, but if you are moving personal effects or family members it won’t concern you. However, if you are transporting goods or passengers in connection with a business, or you’re being paid for doing it, you will need to talk to VOSA.

What happens if I get a parking ticket?
With any type of fine (parking, congestion charge, bus lane, etc), we will receive the penalty notice if it is not paid at the time. This is normally returned with your details to the issuing authority, who then contact you for payment. We charge an administration fee of £10.00 + vat in this circumstance.

What do I do if I use the Dartford Crossing?
You will be responsible to pay the Dart Charge, but rather than pay for it online, we recommend paying over the phone, once you’ve made your crossing (you have until midnight the following day to do this). This is the only way you can be sure that your payment is allocated against your crossing. If you phone 0300 300 0120 with your card details, the Dart Charge office will be able to identify all the crossings your vehicle has made and allow you to specify which one you’re paying.

Unfortunately, with hire vehicles, you can’t be sure that previous drivers have paid for their crossing, so if you make an online payment, it could be allocated against an earlier unpaid fee, resulting in you being issued a Penalty Charge Notice.

If you have a Dart Charge account, we would again recommend that you do not add your hire vehicle to it, as any outstanding unpaid crossings will immediately be added to your account!
